Admin Dashboard

The dashboard gives you a visual overview of evaluation activity, insurance status, and (depending on your role) revenue and discount data. Content is organised into tabs, each containing one or more charts.

Dashboard Tabs

Evaluations & Insurance

This is the default tab when you open the dashboard. It contains four charts: Expiring Certifications Shows certifications that are approaching their expiry date, helping you identify contractors/suppliers who will need to renew soon. The chart displays three renewal states:
  • Renewal Started — Contractors/suppliers who have begun a renewal evaluation
  • Renewal Completed — Contractors/suppliers who have successfully renewed their certification (shown against the prior expiry month)
  • Renewal Not Started — Contractors/suppliers who have not yet started renewal
Click any month to view detailed certification data. Use the filter buttons to view only certifications in a specific renewal state. When viewing completed renewals, the modal shows the new expiry date and renewal approval date instead of days until expiry. Assessor Workload Displays the number of actionable evaluations and pending contractors/suppliers assigned to each assessor, plus an unassigned count. Use this to balance work across your assessment team. Expired Certifications Lists certifications that have already lapsed so you can follow up with affected contractors/suppliers. Like the expiring certifications chart, this shows renewal states and allows filtering by renewal status. Completed renewals remain visible against their original expiry month. Insurances Expiring Shows insurance policies approaching expiry across your client group.

Exporting Data

Each chart supports CSV export. Click any chart to open the drilldown modal, then click Export CSV to download the complete dataset for that view. The export includes:
  • All rows matching the current filter and sort order (not just the visible page)
  • Registered company name and distinct trading name, when set
  • Primary contact name and email for each company
  • All columns shown in the modal table
Exports are named with the chart type, selected month or filter, and current date.

Health

The Health tab provides a comprehensive view of signup and accreditation health metrics across your client group. Use this tab to monitor contractor/supplier engagement and identify at-risk companies. Lead Metrics Three key performance indicators with trend lines:
  • New Signups — Total new contractor/supplier registrations in the selected time window, with a breakdown showing how many started an evaluation versus those who have not yet started
  • Started Accreditations — Number of evaluations started, split between brand-new accreditations and renewals
  • Completed Accreditations — Number of evaluations completed, split between brand-new accreditations and renewals
Click any metric card to view detailed company-level data for that metric. The detail modal includes an Export CSV button to download all companies for the selected metric and time window. Risk Buckets Four categories identify companies requiring attention:
  • Renewal Risk — Companies with certifications expiring soon
  • No Start — Companies that registered but have not started an evaluation
  • No Submission After 30 Days — Companies that started an evaluation but have not submitted after 30 days
Click any risk bucket to filter the at-risk companies table below. At-Risk Companies Table A paginated table showing companies in the selected risk category (or all actionable risk categories if no filter is applied). Each row displays:
  • Company name (click to open the company page)
  • Risk category
  • Signup date
  • Days until certification expiry (if applicable)
  • Last evaluation update (most recent saved change to any evaluation)
Incomplete evaluation value
This section is visible to Administrators and authorised internal RapidCert staff only.
Shows the paid value of evaluations that are not yet complete. This is an operational view of work still awaiting contractor/supplier or assessor action, rather than an accounting receivables balance. Abandoned evaluations are excluded from this view by default. Totals are grouped by currency and shown as:
  • Actionable — Evaluations ready for an assessor to act on
  • Pending Contractor — Evaluations awaiting contractor/supplier action
  • Total incomplete — The combined value of both groups
The age-band table groups each value by the time since payment: 0–30 days, 31–60 days, 61–90 days, 91–180 days, 181–364 days, 365+ days, or Unaged. Select a non-zero value to view the evaluations included in that group. Internal RapidCert staff must select at least one client before the section loads. The section header shows when the underlying snapshot was taken. If any evaluations could not be reconciled with payment data, a warning links to their exception details. Time Windows Select a preset time window (7 days, 30 days, 90 days) or choose a custom date range. The lead metrics and trends update to reflect the selected period. The at-risk companies table always shows current-state data.

Contractor Email Issues

Displays an overview of email delivery issues affecting contractors/suppliers — for example, emails that have bounced or failed to deliver. Use this tab to identify contractors/suppliers who may not be receiving important notifications. The table supports CSV export. Click Export CSV to download all matching issues with the current filters applied.

Revenue

This tab is visible to Administrators only.
Contains revenue and sales performance charts for your client group. Use this tab to track income trends over time. Use the date filter to select the previous month, the last 3, 6, or 12 months, or a custom range. The selected dates use the Pacific/Auckland time zone.

Sales chart

Click any month in the sales chart to view transaction details. The transaction modal includes an Export CSV button that downloads all transactions for the selected month. Stripe payments link to Stripe; invoiced sales are labelled Invoice and have no Stripe link. Shows the current outcomes of evaluations first paid within the selected period. Net paid value after recorded refunds is grouped by currency and split into:
  • Completed (approved) — Approved evaluations
  • In progress — Active evaluations that have not reached a final outcome
  • Abandoned — Retained paid value for abandoned evaluations; this is not accounting profit
  • Other finalised — Rejected or withdrawn evaluations
Each currency card shows the value, evaluation count, and percentage share for each outcome. The footer shows how many paid evaluations were reconciled. Warnings identify zero-net-value evaluations and records excluded because their transaction, payment state, or status could not be reconciled.

Discounts & Kickbacks

This tab is visible to Administrators only.
Shows discount performance, consultant activity, and kickback data. Use this tab to review promotional and referral activity. Both the discount usage transactions modal and consultant detail modal support CSV export. Click Export CSV to download the complete dataset for the selected month or consultant.
