Insurance
RapidCert helps you track and manage your insurance policies to stay compliant with client requirements.Insurance types
The insurance types shown on your insurance page are determined by your active certifications. Each evaluation template specifies which insurance types are required and the minimum coverage amount for each. You will only see insurance types that are required by your current certifications. If you have no active certifications, no insurance types are displayed. When a certification expires and no other active certification requires the same insurance type, that type is hidden from your insurance page. Existing policies are not deleted — they remain in the system.
Adding a policy
From your Dashboard, the insurance coverage summary shows each required insurance type and whether you have a current policy. To add a new policy, click Add on the relevant insurance type. Fill in the required fields:| Field | Description |
|---|---|
| Insurance Type | The type of insurance (pre-selected based on the type you clicked) |
| Insurer / Provider Name | Name of your insurance company |
| Policy Number | Your policy reference number |
| Coverage Amount | Policy limit in your selected currency |
| Currency | NZD, AUD, or USD |
| Start Date | When coverage begins |
| Expiry Date | When coverage ends |
You can also add or update insurance policies from within an evaluation. If your evaluation has insurance requirements, you will see the option to manage policies directly from the evaluation page.
Updating a policy
When you need to update or renew an existing policy, click Update on the relevant insurance type from the insurance coverage summary on your Dashboard. The policy details open pre-populated, and you can update any fields and upload a new certificate. After updating, the policy returns to Pending Verification for administrator review.Policy statuses
| Status | Meaning |
|---|---|
| Pending Verification | Uploaded and awaiting administrator review |
| Active | Verified and currently valid |
| Expiring Soon | Valid but approaching expiry (calculated automatically) |
| Expired | Coverage end date has passed |
| Rejected | Administrator has rejected the policy — review the reason and resubmit |
| Cancelled | Policy has been cancelled |
Evaluation submission validation
When you submit an evaluation, the system checks that all insurance requirements for that template are met:- A policy must exist for each required insurance type
- Each policy must have a certificate of currency uploaded
- Each policy must be at least pending verification (it does not need to be approved before you can submit)
- Coverage amounts should meet or exceed the minimum specified by the template (the administrator will verify this during their review)

RapidCert sends automatic reminders when your insurance is approaching expiry:| Reminder | When sent |
|---|---|
| First warning | 30 days before expiry |
| Second warning | 7 days before expiry |
| Final warning | 1 day before expiry |
| Day of expiry | On the expiry date |
